The Role

The Executive Assistant plays a central role in ensuring YourStake's operational effectiveness, creating a strong foundation for scale, and enabling YourStake to achieve its strategic growth and impact objectives. The Executive Assistant will handle a wide range of administrative and executive support tasks while being a strategic thought partner to increase efficiency, collaborate cross-functionally, and manage crucial information and tasks with little supervision. This person will also be extremely proactive, organized, flexible, and enjoy the challenges of supporting fast-paced executive. The position reports to the CEO and will work across the organization to advance administrative procedures.

Duties & Responsibilities

The Executive Assistant role will serve the CEO, President, and other members of the executive team as necessary. Tasks may include:

  • Manage calendars and email, maintain CRM, file expense reports, and other administrative tasks
  • Organize CEO and President's time by reading, researching, and routing correspondence: drafting letters and documents; collecting and analyzing information; initiating communications
  • Take the lead on the first draft of presentations or new analysis
  • Contribute to the encouragement of a high performing team culture
  • Support executive meetings through research, meeting preparation, note taking, and follow up as needed
  • Identify events the executive team should attend
  • Prepare financial and management reports
  • Plan & book travel for the executive team
  • Plan & coordinate company events
  • Support investor relationships
  • Prepare the executive team for board meetings
  • Other tasks or projects as assigned

 

Core Capabilities

  • Previous experience supporting a c-level executive from an administrative perspective
  • Entrepreneurial approach to task management, ability to take control and manage tasks independently to closure
  • Proactively anticipate needs and dependencies without being asked or directed
  • Excellent written and verbal communication skills
  • Ability to work independently while working with a remote team

 

Qualifications

  • Experience in financial services industry preferred
  • Digital native, able to quickly pick up new online tools
  • Entrepreneurial approach to task management, ability to take control and manage tasks independently to closure
  • Ability to adapt and adjust as needed
  • Excellent time management
  • Passionate about our mission and willing to embody our YourStake values 
  • Proficient with GSuite, Canva, and/or other productivity and desktop publishing applications
  • East Coast time zone preferred
  • Some familiarity with the financial industry / wealth management is preferred but not required
